Polish words from official documents: a glossary for the urząd

Polish documents and a glossary

Your everyday Polish may be decent — and you can still get lost at a government office. Official language is different: here "termin" means a deadline, "wezwanie" is a formal demand, and a "decyzja" can be good news or a three-page refusal. These words appear in every letter from the voivode, ZUS or the tax office.

Many people run official letters through a translation app and get a funny, sometimes dangerous result. It's much safer to know 50 key words. Below is a glossary grouped by situation, with notes on where a literal translation misleads.

Translation traps

A few words people most often get wrong: termin — a deadline, not a "term"; strona in a case — a party, not a page; sprawa — a case at an office, not just "a thing"; uprzejmie informuję — a standard polite formula ("please be informed"), not special friendliness; pouczenie — the explanation of your rights and deadlines at the end of a decision. The pouczenie tells you where and by when you can appeal — always read it.

Checklist before a visit to the office

  • Letter. Underline termin, wezwanie and numer sprawy in your letter.
  • Documents. Originals and copies — separately.
  • Number. Write your case number on a separate slip.
  • Phrases. Learn 3–4 phrases for the window.
  • Confirmation. Don't leave without a potwierdzenie złożenia.
  • Pouczenie. Read the deadlines section in every decision.
